JOB SUMMARY

The HR Administrator is responsible supporting in all aspects of the HR department, predominantly the end to end recruitment process.

Main duties & responsibilities to include but not limited to:

  •  Prepare offer letters & contracts via DocuSign
  • Managing the employee induction process including contracts, new joiner documents, welcome packs and meet & greets
  • Maintaining accurate organisation charts
  • Uploading employee data to People HR software and maintaining accurate records
  • Prepare and post job adverts to Quintessentially website & LinkedIn
  • Conducting Recruitment screening, interviews and candidate liaisons
  • Provide administrative support to the HRBP and the deployment of new initiatives
  • Arrange inductions & new joiner welcome packs
  • Manage the monthly newsletter comms
  • Ensuring that employee data/information is handled, stored, processed and retrieved in a professional, confidential, accurate and timely manner, in accordance with data protection
  • Managing candidate pre employment checks
  • Managing the referencing process for past, current and future employees
  • Managing employee probation process
  • Conduct exit interviews & escalate where necessary to the HRBP
  • Support the HR Business Partner and Head of HR with ad hoc admin duties
  • Issuing of new Contracts and Job Descriptions upon staff promotion, including review with management of applicable restrictive covenants
  • Ensuring compliance with the Equality Act 2010 with regard to all aspects of recruitment and promotion

Requirements:

  • Excellent written & oral communication
  • Mandatory recruitment experience in or for a comparable international business
  • Excellent telephone manner, confident & engaging ‘Can-do’ attitude – ready to get involved at all times 
  • Fast learner – adapting to new processes in rapid change climate 
  • Great attention to detail 
  • Strong organisational skills
  • The ability to prioritise, delegate and meet deadlines
  • Self-starter & own manager – work autonomously
  • Good IT skills

Reporting to: Junior HR Business Partner

Hours of work: Contractual hours are from 0900 to 1730 Monday to Friday. 

However, it may be the case that in order to fulfill the duties of the role, different or additional hours may be necessary. 

Requirement to be on call outside working hours in case of service-related emergency
